What about your "database" of your dolls ?

    1. I have an excel file with all the information I have when I buy a doll. The only thing I really do not keep is the last owner(s) of a doll when I buy second hand. I simply note them as bought from the MP (or any other general place).

      Though i only started this 1-2 years ago so I do not have all the information I would like to have, I still have the majority of my resin bits in it :D

      The only problem I have with it is that I sometimes do not have all the information from the last owners as some people do not really care about that info (ex: year of doll's creation), especially when they are not first owners themselves and/or they have hybrids.

      I need to add measurements to the list as well as accessories (eyes/wigs) as for now I really only have resin bits. I'm pretty sure I deleted almost everything I had about anything else so it's going to be a lot of fun xP

      I like it though. It gives me a very close idea of how much I spent compared to what I sold and I'm very happy of the numbers XD
      Though the total I bought from the last 4 years is a lot higher then I first thought XD

For the past 7+ years, I'd been keeping track of my doll-arrivals on Post-It notes. :XD: There was always that little Robert DeNiro voice inside my head that said "One of these days, I'm gonna get organezized", with the grand intent of filling in a master spreadsheet, but I'm a great procrastinator.

      But this January I finally got off my ass and got organezized! I lost the work email account where I'd received/tracked everything ever since I'd started collecting, so I exploited the office printer while I still had the chance. I printed out every PayPal receipt & order-confirmation for every doll I'd bought new from a company, and confirmations for everything I bought on eBay. I dug up the names of everybody I'd bought from secondhand. I filled in that spreadsheet with each doll's sculpt, type, release/edition information (especially helpful for LEs and Volks Dolpa-release dolls), auction information for high-profile cases (OOAKs, artist repaints), whether or not I have the COA if applicable (I keep everything that comes in a fullset), any other details about the fullset (special resins, option parts, faceups), any other details about the faceups if they've been redone, the purchase date, the arrival date, and the full price I paid (with shipping/fees broken out wherever possible). With a collection of this size, and not-inconsiderable value, it just made me feel a lot better to have all the figures in order. On paper.

      (After I get a new job, renter's insurance is the next step. ^^)
       
    3. I have a binder with info. But it's more character info than doll. the only doll specific details listed are the company and sculpt. but I want to do it differently and have eyes, wig, skintone, etc on there too.
       
    4. I just typed up my BJD database in Word a week or two ago. I have the name I gave them, the sculpt name, and company. I also wanted to include the year (and month if possible) they were made even if I bought them second-hand, their exact height (ex. 67.5 cm instead of just SD), and what clothing/wig/eyes/accessories they have if it's from their fullset. I also have eye and wig size since it got harder to keep everyone's specs in my head after I hit 6-7 BJDs. I don't keep track of their previous owner, but I do make note of the face-up artist if the doll came with a face-up. I plan on adding a "profile picture" for each of my dolls in the future. At the very end of my database I have my doll wishlist in order of priority :)
       
    5. Ha! I thought I was the only one that went so far to make a spreadsheet with doll info. Originally I made it so that I could keep track of items dolls needed such as (wigs/eyes/face-up/etc.) and properly dubbed it the "Neglected Dolly Doc". I then shared it with a friend who had the same issue of keeping track of who needed what...and sadly which dolls were on the neglected end of things. Sometimes it makes it so much easier to visualize which dolls don't get anything... and makes it apparent if a doll needs to be sold.

      We ended up expanding our little document to include items that came with our dolls: full set outfit, papers, box, specific pieces of info like if the head and body were made separately; things that would definitely come in handy when making a sale. Sometimes you rack your brain for hours for facts like this, and it's great when you have all this info on hand. We expanded it further to include our original buying price so that we have an idea of how much money was spent to break even.

      Truthfully it's be a very effective system and makes large collections feel more manageable. n_n
       
    6. I started on that My Dollhouse app on my iPod. Some things I don't remember, but found out I can go back on Paypal and look up stuff!
       
    7. I keep all the technical information in my head. Of course, if I had 12+ dolls, I could see how remembering so-and-so's hip circumference and birthdate and not getting it mixed up with whats-his-name's foot length might become a trick. All of their character profiles are on the computer, though, along with all my other stories and writing.
       
    8. I keep all their sizing info on my iphone. Keeps things easy!
       
    9. I have a spreadsheet showing when I buy a doll and when it arrives. It also has info like (if it’s second hand) when it was made and what type of doll it is.

      It helps me keep track of things. Plus, I think that if I ever need to sell a doll, the prospective buyers would appreciate it if they could get a good idea of its age.
       
    10. That is actually a really good idea! I think I'll have to make one in Excel now, to help keep up with the ever-growing resin army.

      While I don't have those sheets after I buy a doll, I tend to plan my doll purchases in one Excel file. It lists things like the sculpt, whether or not I got the company face up, what/where wigs, clothes, etc., are coming from and the final price. I do like the idea of keeping a better list of what I currently have, though.
       
    11. I write everything down in a journal (point form) eventually i will have everything written out on lined paper and kept in a ring binder. I don't trust computers enough with all that information; They like to crash on me.
       
    12. I used to live in databases and spreadsheets for work - so naturally I had to geek out and made a spreadsheet for my doll family. It's been super helpful for me to keep track of their clothing orders, eyes, wigs and stats. It's also kept me in check as far as over spending because I list things by quarter.

      Also all of my guys are slightly different in size but all between 62cm - 65cm, so I need to keep track of the nuances in their measurements when ordering clothes because a lot of clothing sizes are listed in terms of dolls I don't own. So I also have a list of measurements for other SD boys for sizing comparison.

      I also keep track of what I have budgeted for the quarter, order in which I plan to purchase etc. plus my wishlist and event schedules...

      Yep...a total data geek.
       
    13. Yep... I actually even record doll things; both things I bought, was gifted or made. That way it's easy to keep track of and nothing gets lost.
       
    14. I'm a list maker XD I have 3 databases for my dolls. One is a list of their sculpts names and the names I've given them including a list of possible names for future dolls, and incoming dolls. I keep it on my phone because you never know.

      Then I have 2 excel spreadsheets. One has all their mesasurements sorted by height (MSD, Yo, Tiny, Very Tiny) and includes all the numbers for the dolls I have as well as some I'm thinking about getting in the future. The other is info specific to my doll. What company they're from, where their wigs and eyes came from, who did their faceups, their cost, the year I got them, and the DOA username of the person I purchased the second hand ones from.
       
    15. The closest thing I have to a database are character profiles for my dolls, with biographies and likes, dislikes, appearance, etc etc, but there is nothing about the actual dolls on there. Everything about my dolls is in my head. I really should make a list, I can't keep it all in there!

I have a little notebook where I started to write stories for my realpukis before they arrived; then I started picturing characters for dolls that I really wanted to buy (of course not for all in my wishlist) and writing names that I liked and things that I wanted to buy and how much I spend, so now it's a real mess XD I want to put everything in the computer but I don't have time :S

      edit: forgot to say that I have a bad memory so I also have written all the dates (of buying, of shipping, of arrival) but despite this I forgot to celebrate the first "birthday" of my 3 of my tinies.. it was on valentine day, how could I forget? :doh
       
    17. Our RP's have the same birthday! Lol, back to topic. After reading through this thread, it is a fabulous idea to keep a dolly diary! I have no idea why in my nearly 20 years of adult collecting, why I have never recorded this info! I'm going to get a notebook just for this ASAP & dig out my paperwork & ordering info & put it all straight.

My partner and I have a livejournal of ideas and information, but since recently returning to the hobby, we also made a spreadsheet of purchases to note where each thing we own came from, how much it cost, condition if second hand, which doll it's primarily for, etc. I really like the spreadsheet so I can track things like delivery times and how much gets spent on each doll.
       
    19. I have a spreadsheet-type thing on my computer for dolls and clothes/accessories I would like to get in the future. As for current dolls, I do have a list that I keep on avatar forums where there are guilds or hangouts that are bjd-based. It's partly so others can see my collection and partly for my own reference. I don't keep track of things like what clothes belong to them, since most of my dolls are naked or share outfits out of necessity, but I do list their birthdates (date of receipt) and and roleplay character biographies.
       
    20. I keep a doll diary. It's a hardcover spiral notebook and I write all my doll information in it,as well as character plans and ideas for outfits.
